Why a Connected Tech Stack Matters for Estate Agents in 2026

Most agencies are running on a patchwork of tools that were never designed to work together. The CRM doesn't know what the phone system knows. The portal doesn't talk to accounts. And somewhere in the gaps, leads slip, time gets wasted, and nobody quite knows what's really going on. Calvin Jimenez from CRE Group makes the case for a more connected approach - and explains why getting this right in 2026 matters more than ever.

Introduction

Picture a typical morning in a busy sales office. A call comes in - a warm lead, someone who viewed a property last month and is ready to talk again. The person who picks up the phone doesn't know that. The call history is in the phone system. The viewing record is in the CRM. The follow-up note from last time is in an email draft that was never sent. Three systems, one conversation - and none of them are communicating.

This is what a disconnected tech stack looks like in practice. Not a dramatic failure. Just a slow, daily erosion of the information that would help your team do their jobs better, leaking quietly between the gaps.

The real problem

The Problem Is Not a Lack of Tools

UK estate agents have never had more software available to them. There are now over 850 proptech products on the market, covering everything from compliance and lead generation to tenant onboarding and key management. The proliferation of tools has created a new problem: most of them were never designed to work together.

The result is that the average negotiator starts their day logging into a CRM, a portal, a phone system, a document platform and an accounts package - each holding a different slice of the same business. Data gets re-entered manually. Reports pull from different sources and return different numbers. An enquiry arrives after hours, sits unactioned in an inbox, and by Tuesday morning the client has already booked a viewing with someone else.

68%

of businesses cite data silos as their single biggest operational concern.

In estate agency, the consequences are not abstract - they show up in missed follow-ups, inaccurate reporting and time that could have been spent with clients spent instead moving information from one place to another.

Native vs middleware

Not All Integrations Are Equal

When agencies do connect their tools, it is worth understanding what kind of connection they actually have. Many rely on third-party middleware - platforms that sit between two systems and pass data between them on a delay. This is better than nothing, but it adds fragility. When either system updates, the connector can break. The sync may run hourly rather than in real time. And there is now another subscription to manage and another point of failure to troubleshoot.

Native integrations are different. Built and maintained by the provider, they are designed to work reliably within the architecture of both platforms. When a phone system integrates natively with a CRM, a call is logged the moment it ends - not after a manual trigger, but automatically and accurately. The record is there when you need it.

Why it matters now

Why This Becomes More Pressing As AI Takes Hold

Every major CRM in the UK market is now investing in AI - automated sales progression, lead scoring, out-of-hours call handling. The early results are promising. But AI is only as useful as the data it can see. A lead-scoring model without call history produces inferior scores. An out-of-hours tool that cannot update the CRM in real time creates more work the next morning, not less.

Connected systems are the prerequisite for AI working properly.

Agencies that address their interoperability now will find that every AI feature they layer on top of a joined-up stack performs significantly better than the same tool deployed on an island.

Where to start

A Practical Starting Point

For any agency reviewing their current setup, one question is worth asking about every tool in the stack: does it connect natively to the CRM, or is something bolted on after the fact? The answer will tell you a great deal about where data is being lost and where your team is spending time they shouldn't have to.
